Policies & Terms of Service
We’re so excited to be a part of your special event! To ensure everything runs smoothly, please review our policies and terms before booking. These terms apply to all services provided by Coastal Events by Katie, including Event Planning, Balloon Décor, and Rentals.
General Policies (All Services)
Deposit & Booking: A non-refundable deposit of 50% is required to reserve your date. Dates are not secured without this deposit. Final balance is due 3 days prior to the event unless otherwise specified.
Late Payments: Late or missing payments may delay or cancel your services. A $250 late fee may apply.
Cancellations: All cancellations must be made in writing. Deposits are non-refundable. If cancellation occurs within 48 hours of the event, no refund is guaranteed for the remaining balance.
Client Responsibilities: You must provide accurate event details, be responsive, and ensure proper access to the venue at the agreed-upon time. Delays caused by restricted access may reduce setup time or result in additional charges.
Photos & Marketing: We reserve the right to photograph and share our work for promotional purposes unless otherwise requested in writing.
Liability: We are not liable for injuries, property damage, or illness related to misuse of décor, rental equipment, or balloons.
Event Planning Terms & Conditions
Whether you’re choosing our Essentials, Partial, or Full Planning package, the following policies apply:
Booking & Deposits
50% non-refundable deposit due at booking. Remaining balance due 3 days before event.
Late Payments
May delay or cancel services; $250 late fee may apply.
Cancellations & Refunds
Written notice required. Deposits non-refundable. Refunds not guaranteed within 48 hours of the event.
Changes & Add-Ons
Must be requested 14+ days in advance and are subject to availability/fees.
Setup & Breakdown
Venue access must be arranged by client. Fees may apply for early/late access outside standard hours.
Outdoor Events
We are not liable for issues caused by weather. Clients are responsible for any weather-related risks.
Damage or Loss
Client responsible for damage to rentals or decor. Replacement fees apply.
Balloon Décor Terms & Conditions
These apply to all custom balloon designs, installations, and delivery services.
Booking & Payment
50% non-refundable deposit required. Balance due 3 days before event.
Rush orders (within 7 days) may include a rush fee and full upfront payment.
Cancellations & Refunds
Cancellations must be in writing 48 hours before the event.
No refunds for cancellations within 48 hours. Deposits are non-refundable.
Order Changes
Changes must be made 7+ days in advance and may incur extra fees.
Outdoor Installations
Not liable for popped/damaged balloons due to heat, wind, or rain.
If weather impacts setup, we will do our best to reschedule or adjust setup; additional fees may apply.
Setup & Access
Client must ensure venue is clean, accessible, and ready for setup.
Breakdown & Pickup
Removal services must be pre-arranged. Otherwise, client is responsible for disposal.
Balloon Longevity
Indoor: may last days.
Outdoor: may last only a few hours, depending on conditions. Longevity is not guaranteed.
Client Responsibility
Keep balloons away from heat, sharp objects, children, and pets.
Photos & Promotion
Photos of our work may be used for marketing unless requested otherwise in writing.
Damage or Loss of Rentals
Client responsible for damaged/missing items used in balloon displays. Replacement fees apply.
Rental Items Terms & Conditions
Applies to all rental decor, including backdrops, stands, props, and other accessories.
Rental Agreement
Clients are responsible for all items from time of delivery/pickup until return.
Payment Terms
50% deposit required. Balance due 3 days before event. Items will not be released without full payment.
Delivery & Setup
Delivery fees vary. Additional charges may apply for difficult access. Client must ensure venue is accessible at setup time.
Self Pickup/Return (if available)
Items must be transported in enclosed, clean vehicles.
Late returns incur fees. Damage during transport is client’s responsibility.
Condition of Items
Items are cleaned and inspected before delivery. Notify us immediately of any issues.
Client Responsibility
Items must be protected from misuse, weather, or damage. Do not move items without permission.
Damage & Replacement Fees
Full replacement value charged for lost or damaged items. Extra cleaning fees may apply for excessive wear.
Weather Disclaimer
Outdoor use is at client’s own risk. Consider backup plans for delicate items.
Late Returns
Daily fees apply to late returns. Items not returned within 3 days will be considered lost.
Cancellations
14+ days notice: no additional balance due, deposit forfeited.
Less than 14 days: up to 100% of rental cost may be charged.
